How are appointments scheduled?
Triad Pediatric Dentistry makes every effort to schedule appointments when it is convenient for you, if that time is available. We do our best to schedule young children in the morning, because they are more prepared and typically do better at the start of their day. We also suggest that older children, with a great deal of treatment to be completed, be scheduled in the morning. We strive to see all patients at their scheduled appointment time. Please plan to arrive ten minutes or more before your appointment to allow time to complete any additional paperwork.
Your appointment time is reserved just for you. Please notify our office 48 working hours prior to your scheduled appointment time if cancellation is unavoidable. This provides us with enough time to offer your slot to another waiting patient. We realize that the unexpected can happen, but we ask your assistance in this regard. We reserve the right to charge a $50 cancellation fee, or to not reschedule you at all, if you do not cancel at least 48 hours prior to your scheduled appointment. If you have two or more broken/missed appointments, or fail to give 48-hour notice for two cancellations, we reserve the right to refuse further appointments.
Do I stay with my child during the visit?
You are invited to remain with your child during the initial examination. You will have the chance to see our team in action. It also allows Dr. Sona to explain her findings and discuss treatment needs with you. During future appointments, we encourage children over age 3 to come back to the treatment room are by themselves, as this builds autonomy and trust. We strive to gain your child’s confidence, helping him or her overcome apprehension. Children who are not being seen by the dentist must remain in the reception area, under the supervision of an adult, for the privacy and safety and privacy of all patients.
What about payment?
We prefer to get payment in full at the time dental services are provided. If you have dental insurance, you must provide accurate and complete insurance information. We are happy to file for insurance benefits on your behalf. We ask that all charges be paid at the time of service, and reimbursement will come back to you directly. For your convenience, we accept cash, Mastercard/Visa, American Express, Discover, and CareCredit. If this process is a problem for you, we can file traditionally, and accept payment from your insurance company. However, please bear in mind that if you ask us to submit your insurance this way, we do require a credit card on file so that any balance may be charged to that card. You will be expected to pay an estimated copay at minimum, for treatment provided.
Regarding dental insurance – our office policy
Our staff will file primary dental insurance claims for you, as a courtesy, if we have received necessary insurance information on the day of the appointment. We would prefer payment in full at the time of service, so that we can have the dental insurer reimburse you directly. However, we can also accept assignment of benefits from your insurance. We will file your insurance claim for you either way. You must pay at least the estimated uncovered portion at the time of service. Once we receive reimbursement from the insurer, if there is still a balance, your credit card on file will be charged for the remaining amount. If there is a credit, we will send a refund check to you. Please note that our office does not file secondary insurance.
Our office files insurance claims electronically. Your insurance company receives the claim within days of treatment. The entire account balance is your responsibility. If your insurance company does not pay all or part of a claim for any reason, you must pay it in full within 30 days of the appointment. Please be aware that all insurance carriers may not agree to provide reimbursement directly to our office. In that situation, you must pay the full cost of each visit at the time service is provided. Your insurer will send reimbursement directly to you.
IMPORTANT – We file dental insurance only as a courtesy to our patients. We have no direct relationship with your insurance company. We have no control over how your insurer handles claims, or for the amount they pay. We can, however, assist in obtaining an estimate for your portion of the cost.
